Presentation Instructions

A Guide for In-Person Presenters

  • Before your session begins:
    • Come to the session room at least 10 minutes before the start of your session and inform the session chair that you are an in-person presenter.
    • Connect to the session’s ZOOM on your own PC.
    • Make sure you can share your Zoom screen on your own PC.
    • Make sure your microphone input, speaker output, and video are always turned OFF.
  • When your presentation begins:
    • Share your presentation screen with ZOOM.
    • Your microphone input, speaker output, and video must remain OFF.
    • You have 14 minutes for your presentation and 5 minutes for Q&A.
    • You will hear one bell ring at 10 minutes, another bell ring at 13 minutes, and two bell rings at 14 minutes.
    • Please strictly keep to the presentation time.
  • FAQ:
    • Is there any provided slide template for presentation? — No, we do not have any specific template. Use the template of your choice.
    • Does the presenter also submit a recorded presentation video? — No, all presentations will be real-time.
  • A Guide for On-Line Presenters

  • Before your session begins:
    • Connect to the session’s ZOOM at least 10 minutes before the start of your session and inform the session chair that you are an on-line presenter.
    • Make sure you can share your Zoom screen on your own PC.
    • Note that the time zone is Japan Standard Time (JST). Note that the time zone is UTC +9.
  • When your presentation begins:
    • ZOOM-share the presentation screen.
    • Microphone is turned ON. Video is optional.
    • You have 14 minutes for your presentation and 5 minutes for Q&A.
    • You will hear one bell ring at 10 minutes, another bell ring at 13 minutes, and two bell rings at 14 minutes.
    • Please strictly keep to the presentation time.

  • A Guide for Session Chair

  • Before the start of the session:
    • Please be at the session room at least 10 minutes before the start of each session.
    • The session chair always speaks using the room microphone.
    • Identify all in-person and online presenters for the session.
      • The results of the pre-survey of presentation types can be found here.
  • For each presentation:
    • Read out the presentation title and author, and confirm the presentation type (in-person/on-line).
    • Each presentation has 14 minutes for presentation and 5 minutes for Q&A.
    • Presenter will hear one bell ring in 10 minutes, another bell ring in 13 minutes, and two bell rings in 14 minutes.
    • Q&A session:
      • Online questioners will use the “raise your hand button” on the zoom to announce their intention to ask a question.
      • In-person questioners will be told to speak at the room microphone.
  • NOTES:
    • All questions in the hall should be asked in such a way that the sound can be picked up by the room microphone.
    • Force the microphone and video to be turned off if audience’s zoom microphone is on and noisy.
    • The program schedule is tight, so please manage the time carefully.
